In cases where a submitted advanced invoice contains erroneous information or when a change in the contract is in order, a correction to the advanced invoice previously sent must be generated. In line with this, the advanced invoice feature includes a process for correcting previously sent advanced invoices as part of KSeF. This process generates a transaction that corrects the details of the advanced invoice based on the user’s input. It also generates the corresponding advanced invoice correction PDF output that users can issue to customers.

Increase Advanced Invoice Amount

To increase the advanced invoice amount:

  1. Open the related sales order in VIEW mode.

  2. Click the Create Advanced Invoice button. A pop-up will display the order’s currency, total order amount, and remaining balance.

  3. Select the associated Advanced Payment. The total unapplied amount of the advanced payment will be defaulted.

  4. Optionally, change the Advanced Invoice Amount and/or the Payment Date.

  5. Click Submit.

  6. Wait until you receive the confirmation that the advanced invoice has been created successfully.

  7. Click the link to the created advanced invoice record.

  8. Review the transaction that was created.

  9. Click the Print button to see the invoice printout.

Decrease Advanced Invoice Amount

To decrease the advanced invoice amount:

  1. Open the related sales order in VIEW mode.

  2. Click Correct Advanced Invoice.

  3. Select Decrease Advanced Invoice Amount. Click Submit.

  4. Select the appropriate advanced invoice.

  5. Enter the corrected amount.

  6. Enter the correction date.

  7. Click Submit.

  8. Wait until you receive the confirmation that the advanced invoice correction has been created successfully.

  9. Click the link to the created advanced invoice correction record.

  10. Review the transaction that was created.

  11. Click the Print button to see the invoice printout.

Increase Order Amount

To increase/decrease the sales order’s total amount:

  1. Open the related sales order in EDIT mode.

  2. Make the necessary adjustments to the sales order lines' rate or amount columns.

  3. Click Save.

  4. Upon reloading the record, click Correct Advanced Invoice.

  5. Select Correct Order Amount. Click Submit.

  6. A list of all associated advanced invoices will be displayed. Review the list and the records before clicking Confirm.

  7. Wait until you receive the confirmation that the advanced invoice correction has been created successfully.

  8. Click the link to the created advanced invoice correction record.

  9. Review the transaction that was created.

  10. Click the Print button to see the invoice printout.

Decrease Order Amount

  3. Click Save.

Increase Tax Amount

To increase/decrease the sales order’s tax amount:

  1. Open the related sales order in EDIT mode.

  2. Make the necessary adjustments to the sales order lines' tax code or tax amounts.

  3. Click Save.

  4. Upon reloading the record, click Correct Advanced Invoice.

  5. Select Correct Tax Amount. Click Submit.

  6. A list of all associated advanced invoices will be displayed. Review the list and the records before clicking Confirm.

  7. Wait until you receive the confirmation that the advanced invoice correction has been created successfully.

  8. Click the link to the created advanced invoice correction record.

  9. Review the transaction that was created.

  10. Click the Print button to see the invoice printout.

Cancel Order

To increase/decrease the sales order’s tax amount:

  1. Open the related sales order in VIEW mode.

  2. Click Correct Advanced Invoice.

  3. Select Cancel Order. Click Submit.

  4. A list of all associated advanced invoices will be displayed. Review the list and the records before clicking Confirm.

  5. Wait until you receive the confirmation that the advanced invoice correction has been created successfully.

  6. Click the link to the created advanced invoice correction record.

  7. Review the transaction that was created.

  8. Click the Print button to see the invoice printout.

Viewing Advanced Invoice Corrections

All advanced invoices and relevant advanced invoice corrections are linked to the sales order and displayed as a sequential list for easy access and review.

  1. Open an existing sales order.

  2. Go to the Staria Poland Localization tab and open the Advanced Invoice Link sublist.

To view a list of all advanced invoice corrections in the system:

  1. Navigate to Transactions > Advanced Invoice > Advanced Invoice Corrections.

  2. You may click VIEW beside the advanced invoice correction you wish to review.
