Overview:
Customer: Rohlik.
The customer raised an issue regarding a document that could not be located within Inflow, specifically mentioning the document "EUR_252304065_31546407_Rossum.xml." They pointed out that two files bearing the same name were dispatched by Rossum, with one successfully reaching NetSuite on June 8, 2023, while the other remained unaccounted for after its transmission on June 19, 2023. The customer further verified with Rossum that both files had been exported without problems. In response, the customer requested an examination of the SFTP system to confirm whether the missing document had been received and to investigate why it failed to be sent to NetSuite.
The information provided below is also relevant to other customers facing a similar problem.
Validation (Inflow Gateway):
Login to: https://inflow.staria.fi/
View Rohlik’s folder.
In the customer profile, scroll down then go to the Search section.
Enter the name of the file in the “Filename contains” box. Click Search button.
When the result appears, click the View Logs button.
In the logs, you will see that the June 8, 2023 file was processed. However, there is no record for June 19, 2023.
External Team (Best Practices and Insights):
Because we could not find the file from June 19, 2023, we got in touch with Nataniel Jhutti, the person in charge of Inflow Gateway's development. Here is a brief summary of our discussion:
If an invoice is a duplicate and has already been sent to NetSuite, it will be discarded.
However, if an invoice is in an error state and is reuploaded, it will be processed.
If the file name is the same but the content is different, it will be treated as a new invoice, and an attempt will be made to send it to NetSuite.
Important: Nataniel can also examine the back-end logs to investigate the situation concerning the duplicate inbound e-Document sent on a different date, which did not appear in Inflow Gateway.
