What is KSeF?

 KSeF is a system for issuing, receiving, storing, accessing, and designing invoices structured by the identification number assigned in the KSeF. It is also designed to notify users of KSeF.

KSeF is used to analyze and check the correctness of structured invoice data. Allows you to authenticate and verify KSeF permissions you have by the entities referred to in Article 106nb of the act. Notify entities other than those specified in Article 106nb of the law on the lack of rights to use this system.

You can also use KSeF to grant, modify, or revoke permissions to use its system and notification of entities referred to in Article 106nb of the law on permissions to use the system or their withdrawal.

When will Staria Poland Localization for NetSuite support KSeF?

Poland’s Ministry of Finance announced that the implementation date of mandatory KSeF has been postponed. The KSeF, due to take effect on 1 July 2024, will be implemented at a later date. [Source]

Despite this postponement, the Staria SuiteApp team is excited to announce that Version 4.0.0 of the Staria Poland Localization for NetSuite will introduce support for KSeF. This aligns with our commitment to meeting industry regulations and customer expectations.

The key feature of version 4.0.0 addresses the forthcoming government requirement that is expected to be mandatory. Recognizing the evolving landscape and the importance of proactively meeting compliance standards, Staria has accelerated the development of this feature to ensure our customers are well-prepared for the future. Before the release of version 4.0.0, we will also provide an optional beta release that customers can opt to install in their sandboxes. This gives customers enough time to test the new feature and make the necessary preparations before deploying version 4.0.0. We will announce the availability of the beta release in the upcoming months.

What is included in version 4.0.0?

• KSeF Authentication

  • The new feature provides an easy way of establishing secure and authenticated communication with the KSeF e-invoicing system.

• NetSuite to KSeF Data Conversion

  • The new feature utilizes the standard KSeF XSD structure to convert NetSuite Sales Invoice information into a KSeF-ready XML file.

• Netsuite to KSeF XML File Transmission

  • The new feature provides a manual and automatic way of transmitting converted and encrypted KSeF-ready XML files directly to the KSeF e-invoicing system.

• KSeF Invoice Monitoring

  • The new feature includes reports and portlets that allow businesses to track and monitor the transmissions to the KSeF e-invoicing system.

  • The information tracked would include:

    • The date and time of issue of the structured invoice.

    • The invoice identification number structured allocation in the system.

    • The date and time of its allocation.

    • The date and time of rejection of the invoice in case of non-conformity with the invoice model structure.

    • Lastly, the inability to issue a structured invoice in cases of NetSuite system downtime or the unavailability of the KSeF e-invoicing system.

• Buy Invoice Importing

  • Download buy invoices from KSeF using a KSeF Invoice Number.

• Buy Invoice Conversion

  • Converting a downloaded buy invoice into an actual vendor bill transaction in NetSuite.
